Founded in 1842, the Royal Masonic Benevolent Institution (RMBI) currently supports over 1000 residents in 17 care homes throughout England and Wales. The RMBI primarily cares for older Freemasons and their families, and prides themselves on providing person-focussed, kind and professional care.

When providing care to elderly residents, it is integral that accurate medication management is a top priority to ensure resident safety. It was with this in mind that RMBI decided to implement a care and medication management software solution, to ensure all medication and care was delivered in a safe, well documented, and efficient manner.

“Managers have a real time ‘handle’ on what is happening with the entire medication management process at their home, and have a full audit trail of every action that is performed on the system that can be referred to quickly and easily” – Claire Wilcox, RMBI Project Manager

iCareHealth software solution’s meeting client needs

RMBI knew that in order for software adoption to be successful throughout their business, the chosen product would need to meet their specific set of requirements. One of their top priorities was that the system needed to be technically robust, with the ability to work both on and offline. The system also needed to be simple for staff to use, with features to help prevent medication errors. In addition, RMBI recognised the increasing need for providers to have in-depth and easy to access reports for regulatory purposes. As a result of these requirements, the RMBI are planning to implement iCareHealth’s Care and Clinical, and Electronic Medication Management solutions throughout their 17 homes. The RMBI currently have 11 homes up and running with Care and Clinical and four homes using both Care and Clinical and Electronic Medication Management.

Accurate medication insight for management

RMBI Project Manager, Claire Wilcox, worked closely with the iCareHealth team during implementation, and was able to see the impact the software solutions had on organisational efficiency. When asked about which software features RMBI found most beneficial, Claire listed dashboard and reporting, stating that this allows management to, “…very quickly and easily…see the status of the drug round, if any medications are late or have been missed, what PRN’s have been administered, why and whether it was effective and any exceptions”. In addition, Claire explained that stock and inventory control was a high priority for RMBI, and the ability to track this with associated reports had helped their care homes reduce on over ordering, while managing the overall process more effectively.

In-depth worker and pharmacy training

Having now implemented iCareHealth’s Care and Clinical, and Electronic Medication Management solutions in numerous care homes, Claire had this advice to providers looking to undertake an implementation, “Ensure you select a software provider that can not only deliver a product that suits your needs, but gives you the best level of support, before, during and post implementation. We found that iCareHealth’s pharmacy consultants were invaluable when it came to getting our preferred pharmacies on board with the project and giving them the necessary guidance, training and support they needed”. Claire also expressed how invaluable having an internal resource dedicated to the project was for their organisation, and recommended this strategy to other multi-site providers.

Full audit trail for reporting requirements

When asked how iCareHealth’s software solutions had impacted the quality of care at the RMBI, Claire stated, “Managers have a real time ‘handle’ on what is happening with the entire medication management process at their home, and have a full audit trail of every action that is performed on the system that can be referred to quickly and easily”.

At the heart of the shift to an electronic management system, resident safety was RMBI’s key focus, with Claire reflecting, “Resident safety is now improved due to the obvious pitfalls of paper recording, such as poorly written medication directions…and in built system safeguards that assist staff to administer safely and effectively”.
